They are looking for a skilled Executive Assistant to join their team.  Successful candidates will be extremely well organized, have excellent communication skills, and be capable of effectively managing complex schedules and working closely with other members of the administrative team to coordinate senior management activities.

Primary Responsibilities:

  • Primary function is to provide administrative support to the CEO and CFO
  • First point of contact for the Executive Offices to those inside and outside the organization
  • Maintain complex calendars and coordinate meetings and conferences, both on and off site
  • Coordinate the schedule and locations for Board of Director meetings, and organize and disseminate materials
  • Manage extensive domestic and international meeting and travel arrangements and prepare subsequent expense reports
  • Handle or delegate to the appropriate person all matters requiring attention in the absence of the Executives
  • Support interdepartmental communications and communications with external clients and handling sensitive and often highly confidential information
  • Establish and maintain e-filing systems on department-related business according to corporate standards
  • Perform general administrative functions (answering phone calls, ordering meals, coordinating vendors, copying, printing, mailing, faxing, scanning and binding, etc.)
  • Provide administrative support during off hours, including weekends, as emergencies arise
  • Act as administrative “Team Lead” and proactively provide backup support to the other members of the administrative team as necessary


  • College degree preferred, 15+ years of executive administrative experience, including 5+ years supporting the CEO of a public company
  • Experience in the life sciences industry, pharmaceutical or biotechnology preferred
  • Highly-developed interpersonal skills including communication and listening skills, attitude, exhibiting a professional, energetic, proactive and enthusiastic demeanor
  • Intermediate to advanced computer skills.  Must be proficient in Microsoft Outlook, Word, PowerPoint and Excel and willing to learn new software and manage multiple platforms (e.g. SharePoint, Visio, etc.)
  • Successful experience in fast-paced entrepreneurial environment

Comp up to $110-120K, DOE
